As the Program Coordinator you are a highly motivated and organized self-starter with experience wearing multiple hats and managing competing priorities and projects.

At Innovation Factory, we believe in the role life science startups and scaling companies have in making our world a better place, creating products that improve patients’ lives while strengthening our local economy.  To support these companies, we need someone passionate about linking companies with the clinical and research infrastructure needed to help companies bring their innovative products and services to market.  

As the Program Coordinator (Life Science) the work you do will create significant impact for our clients and for Innovation Factory.  Your primary responsibility will be to coordinate day-to-day delivery of the the Southern Ontario Pharmaceutical and Health Innovation Ecosystem (SOPHIE) and Canadian Medtech Alliance (CAMEDA) programs, as well as providing support for the Health Ecosystem to Accelerate & Leverage Trials of Healthcare Innovation (HEALTHI) program and Femtech Canada initiative. In addition, the Program Coordinator will be involved in other activities that help our customers leverage the infrastructure, facilities, and expertise of the regional health ecosystem.  

This is a 12-month contract, full-time position. This role will work collaboratively with all departments and teams within Innovation Factory and report to the Sr. Program Manager (Life Sciences).

Core Responsibilities

Project Coordination & Administration

  • Coordinate delivery of Innovation Factory’s life science programming to exceed client expectations and enhance their ability to leverage Hamilton health ecosystem infrastructure, facilities, and assets.
  • Work with Life Science Program Managers to support internal relationships and communications necessary to successfully execute programs.
  • Act as a point of contact for program participants and other external stakeholders.
  • Coordinate with delivery partners and participating companies to ensure projects are started and completed successfully. Includes both pre- and post- program coordination and reporting.
  • Assist with reporting on key metrics to assess success and impact of life science programs.
  • Organize, track and update program documentation and data to maintain a view of program status / client experience, using project management tools and systems (e.g., Asana, CRM, GDrive).
  • Ensure ongoing communication is maintained among program stakeholders and establish the most appropriate cadence for meetings and monitoring projects among subgroups. 
  • Work cross functionally with Innovation Factory’s Operations, Marketing and Venture Growth teams to ensure all program elements are managed efficiently.
  • Support leadership with developing strategy and business planning processes and monitor program performance against stated objectives.
  • Support the leadership team and Program Managers in initiating new programs, including funding pursuits. 
  • Other duties as assigned.

Ecosystem Support

  • Develop relationships and networks amongst clients and regional ecosystem partners.
  • Respond to inbound inquiries regarding ecosystem initiatives and activities.
  • Assist with the creation and circulation of marketing and other promotional program materials and content (e.g., Cluster Survey, Ecosystem Brochure). 
  • Support organization of site visits from select stakeholders.
  • Keep informed of industry trends and concepts that can be used to enhance program offerings. 
  • Conduct research and analysis to support priorities of life science team.
  • Other duties as assigned.

Essential Skills and Qualifications

  • Relevant post-secondary education, with healthcare and/or innovation-focused degree or diploma an asset.
  • Proven ability to deliver programs in an organized and detailed manner, keeping projects to planned timelines and success metrics.
  • Strong communication and presentation skills, both written and verbal.
  • Ability to facilitate collaboration and alignment among multiple parties with disparate views and objectives.
  • Organizational skills to manage concurrent, competing priorities. 
  • Motivated self-starter, who is extremely comfortable with ambiguity.  
  • Experience collecting and interpreting data
  • Comfort working independently and as part of a team.

Assets

  • Ability to effectively communicate in both English and French is a significant asset.
  • Proficiency in project management software and/tools.
  • Proficiency using Microsoft Office, Asana and Google apps. 
  • Strong communication, stakeholders and client facing experience.
  • Strong attention to detail, problem-solving capabilities, and the ability to multitask effectively.

Working Conditions

  • Working from Innovation Factory offices 5 days per week; 37.5 hours per week, regular daytime business hours are between 9 am EST to 5 pm EST.
  • Opportunity for hybrid work model, allowing some remote work.
  • Some localized travel required.
