Role Summary
As the Program Coordinator, you are a highly motivated and organized self-starter with experience wearing multiple hats and managing competing priorities and projects.
As an active and engaged member of Innovation Factory’s Partnership and Programs team, you will focus on administrative support, file coordination, and program fulfillment. You demonstrate that you are able to manage multiple objectives simultaneously, have excellent attention to detail, and can use your communication skills to connect with the innovation community.
You will contribute to driving the fulfillment and administration of various Innovation Factory programs including the Runway program, OwnershIP program, annual partnership management, and any new program development initiatives. You will coordinate activities which include data entry, program intake, onboarding, messaging and communication, execution of tactics and plans, maintaining up-to-date content, and supporting the maintenance of online resources. You will also provide ongoing concierge support to Runway clients and assist with other Innovation Factory teams, programs, and initiatives as needed.
This is a 12-month contract, full-time position. This role will work collaboratively with all departments and teams within iF and reports to the Manager, Partnerships and Programming.
Core Responsibilities
Program Administration
- Act as a point of contact for supporting program participants, partners and stakeholders.
- Organize, track, and update program documentation.
- Provide frontline program customer service at Innovation Factory – providing information about Innovation Factory programming and other resources available by Innovation Factory, its programs and partners
- Manage CRM, project management, booking, and invoicing tools for Runway and OwnershIP clients, coordinating with partners and stakeholders.
- Connect and liaise with Expert Advisors, ensuring client and program needs are on track and applicable resources are available.
- Assist with reporting out on evaluation metrics to determine success and impact of programs.
- Work cross functionally with Operations, Marketing and Venture Growth to ensure all program elements are managed efficiently.
- Coordinate with community stakeholders and participating companies to ensure individual client projects are assigned, started, and completed successfully. Includes both pre- and post- program coordination and reporting.
- Ensure ongoing communication is maintained among program stakeholders and establish the most appropriate cadence for meetings and monitoring projects among subgroups.
- Be directly responsible for the intake and onboarding of all clients and participants to the Runway and OwnershIP programs, see more in Front of House Support.
Front of House Support
- Manage the onboarding processes, conducting due diligence for Runway, and conducting client needs assessments for OwnershIP.
- Provide ongoing concierge support to Runway clients.
- Support the fulfillment of the Runway program, OwnershIP program, and annual partnership management.
- Data entry supporting all programs. Including the following platforms: ○ Innovation Factory CRM
- Asana Project Management Boards
- Cognito Forms Information Intake tools
- Partnership onboarding documentation across tracking tools
- Work with Program Manager to manage internal relationships and communications necessary to successfully execute the Runway and OwnershIP programs.
- Support leadership with developing strategy and business planning processes and monitor program performance against stated objectives.
Digital & Content Responsibilities
- Support the development and ongoing efforts to update and maintain multiple existing website properties as well as new website projects.
- Assist with the creation and circulation of online, print, and other promotional or informational program materials and/or content.
- Support with the planning, development, and execution of Academy platform content from partners and stakeholders.
Other Project Support
- Support the leadership team and Manager, Partnerships and Programs in initiating new programs. This may also involve collaborations where we work with partners to deliver programs and revenue-generating initiatives.
- Work with Operations, Marketing, and Partnerships & Programs teams to manage internal relationships and communications necessary to successfully execute the Runway and OwnershIP programs.
- Keep informed of industry trends and concepts that can be used to enhance program offerings.
- Other duties as assigned.
Essential Skills and Qualifications
- Recently completed a relevant post-secondary education, College diploma or University degree (For example Business, Communication).
- Proficiency using Microsoft Office and Google apps.
- Strong communication skills, both written and verbal.
- Organized, punctual, results-minded, and a strong attention to detail.
- Proven ability to deliver programs in an organized and detailed manner to keep projects to planned timelines.
- Motivated self-starter who works well individually and as part of a team.
- Hybrid work environment, but in-office is required at minimum three days per week in either/both Hamilton & Halton Innovation Factory offices
- Access to a vehicle and valid, Ontario G class license is strongly recommended
Assets
- Project management experience is an asset.
- Experience with newsletter/mailing technologies, WordPress, Canva, CRM.
- Previous experience with start-ups, new businesses, incubators, accelerators, business development, or client and/or account management is considered an asset
- Familiarity with the innovation and transportation sectors.
Working Conditions
- 5 days per week; 37.5 hours per week, regular daytime business hours are between 9am EST to 5 pm EST.
- Some localized travel required (GTA).
